How Long Do Custom Shirts Take? Turnaround Times for Every Order Type

Most custom-shirt orders take 10–14 days from click-to-delivery — that's 24 hours for your free proof, then 5–8 business days in production, then tracked shipping. Rush orders can compress that to 6–8 total days for a flat $35. Here's how the clock actually works, what you control, and how to hit your date without paying rush every time.

The clock, honestly

Every custom-shirt order has five stages:

Order placed — you submit the form, pay, upload artwork
Free digital proof sent — within 24 hours (usually much faster on business days)
You approve the proof — the actual clock on production starts here
Production — 5–8 business days standard, 2 days rush
Shipping — 2–5 business days free ground (US), or upgrade at cost

Standard turnaround (what most orders look like)

Screen printing

5–7 business days in production after proof approval. Add 2–5 business days for shipping. Total from order date: ~10–14 days.

DTF transfers

3–5 business days in production — DTF skips the screen-burning step so it moves faster. Total from order date: ~7–10 days.

Embroidery

5–8 business days in production, or longer if there's a new logo to digitize (add 1–2 days). Total from order date: ~10–15 days.

Rush turnaround — when you need it in a hurry

Rush 2-day production is $35 flat, any quantity, any method. Not per shirt — one flat fee. That gets you:

Proof sent same business day (often within 2–4 hours)
Production within 2 business days of proof approval
Shipped priority — usually next-day delivery to most of the East Coast, 2 days national

End-to-end, a rush order commonly hits your door in 4–6 total days. If you need it faster than that, call us first — we've turned events around in 48 hours before, but we need to know before you order.

What actually delays your order (and what you can control)

Delays YOU control

Slow proof approval. The production clock doesn't start until you approve. If we send a proof at 10am and you reply at 4pm the next day, that's 30 hours lost. Approve as soon as it lands if it looks right.
Bad artwork files. Low-res JPGs, screenshots, phone photos of a logo — we can work with these, but they force us to redraw or ask for better versions, which stalls production. Send vector (AI, EPS, SVG) or high-res PNG (300 DPI at print size) whenever possible.
Multiple revision rounds. Unlimited revisions are free, but every round takes 4–24 hours. If you know 3 people need to sign off, get all their input before requesting changes.
Design decisions mid-order. Changing garment style or color after production has started resets the clock. Lock decisions before you order.

Delays WE control (and manage tightly)

Wholesaler stock issues. Rare, but if a specific size/color is temporarily out at SanMar, we swap to the nearest equivalent and note it on your proof — usually costs zero days.
Digitizing new logos. One-time step for a new embroidery order. We do it in-house, usually within 24 hours.
Machine capacity during peak season. April–June (summer camp / event season) and October–December (holiday gifting / merch) are busiest. We'll always tell you upfront if capacity is tight.

Real-world timelines

Restaurant staff tees (15 pieces, screen print)

Ordered Monday morning → proof Tuesday → approved Tuesday afternoon → production Wed–Mon (4 business days) → shipped Tuesday → delivered Thursday. 10 days total.

Team event shirts (40 pieces, DTF, full-color)

Ordered Wednesday → proof Thursday → approved Thursday → production Fri–Tue (3 business days) → shipped Wednesday → delivered Friday. 9 days total.

Corporate embroidered polos (24 pieces, new logo)

Ordered Monday → digitizing Tues → proof Wed → approved Wed → production Thu–Wed (5 business days) → shipped Thursday → delivered Monday. 14 days total.

Emergency rush (24 event tees for Saturday, ordered Wednesday)

Ordered Wed 10am with rush → proof Wed 2pm → approved Wed 4pm → production Thu–Fri (2 business days) → priority shipped Fri afternoon → delivered Saturday morning. 3.5 days total. $35 rush fee.

When to order — hitting real deadlines

Event apparel (color wars, races, festivals)

Order 3–4 weeks before the event. That gives you buffer for revisions, avoids the rush fee, and lets you focus on the event itself. If you're inside 3 weeks, rush is your friend — worst case you spend $35 to guarantee delivery.

Summer camp staff apparel

Order 4–6 weeks before opening day. This covers new-logo digitizing (one-time for the year), gives you time to review the proof carefully, and lets us keep artwork on file for late-hire additions with zero minimum penalty.

Uniform reorders (existing logo on file)

Order 10–14 days out for standard, 5 days for rush. Because we already have your artwork, proofs go out same-day and production skips right in.

Corporate holiday gifting

Order by mid-November for reliable pre-Christmas delivery. December orders often work but rush becomes more likely as peak season compresses capacity.

Contractor / crew uniforms

Order 2 weeks before your season starts. If you're outfitting new hires mid-season, single-piece orders ship free with no minimum penalty — plan for a week from order to arrival.

Free ways to move faster

Send print-ready artwork. Vector or 300 DPI PNG. If we don't have to redraw or ask for better files, we can skip a round.
Approve proofs the same day. Most delays live in the approval loop, not production.
Lock design decisions before you order. Style, color, placement, sizes — nail them before submitting.
Skip weekends in your countdown. Business days matter. A Friday order really starts Monday.
Reorder existing designs. We keep artwork on file forever — reorders can ship in half the time of new orders.
